This is the last official check-in before the project completion deadline on August 14th. Don't forget that completed projects submitted before August 10th get special consideration when it comes to early posting dates.

(If you are someone who would find additional check-ins helpful, please let us know, and we'd be happy to schedule a follow-up check-in with you between now and the deadline!)

Remember to share what you've done so far with your partner, which means that if you have a partial podfic completed, now is the time to send that to your partner. Also, if you haven't given your writer feedback about their work, please take that opportunity to do it now. We've found that it's often very important to pod_together participants to have their work acknowledged and appreciated by their partners, and sometimes with the rush to meet deadlines, this important step in the process can get overlooked! So this is your official reminder to send some love and support to your partner :)

And of course, please let us know any ways we can support you. Options include:
-Putting out a call for a co-podficcer for part of the story
-Putting out a call for an editor to help edit your podfic
-Additional check-ins/cheerleading/podfic betas

If you think you'll need an extension, please let us know. And as a reminder, the posting period this year is much shorter than it's been in years past, so we're limited in how long an extension we can give.

Detailed Posting Instructions

The written component of pod_together is due this Saturday, July 16th (unless you've made arrangements for an extension). If the written component is already completed, feel free to upload early. Podfics are due August 14th, and are also welcome to be submitted early (remember, podfics posted by August 10rd get earlier reveal dates!)

Projects will all be posted on AO3. If you don't have an account with AO3, then please let us know and we'll send you an invitation.

To submit your project, post the project to the Pod Together 2016 Collections, either by adding via this link or by listing Pod_Together2016 in the “Post to Collections/Challenges:" field.

Be sure to add all your group members as co-authors, and to hit submit when done; the challenge is set to unrevealed, so the project will show as a "Mystery Work" to anyone but the co-authors and mods. If you leave the project as a draft, the mods will not be able to see your project. If you don’t get the message shown in the image below, double check to be sure you’ve submitted everything properly.

Note: If your group is planning on posting an audio-only version of the final projects, the group members may set up an empty post at AO3 and then to email the text to us.

Once the audio component of the project is ready, you can email the mods at pod.together at gmail dot com.

You can send us a link to your podfic and the cover art if you have any. If you feel that your podfic would benefit from multiple streams, please specify in your email when handing it in. The mods will email you back with links and the streaming code. We ask that everyone leave their podfic up for at least 6 months, however after that if you ever want/need to have it taken down, please email pod.together at gmail dot com and it'll be removed right away. Also remember that, if an emergency ever arises where the link needs to be made unavailable immediately, you will be able to edit the AO3 post to remove the embeds and download links to the podfic right away.

Or, if you have your own hosting (which meets these criteria), let us know in the email you’ve added the audio to your project. You don’t need to include the files in your email.

Once you have the direct downloads and streaming code ready, they can be added to the top of the AO3 entry, or throughout the entry as required. Be sure to add the links/streaming code to the main works body—the streaming code won’t work if it’s in the notes or summary sections.

If you’ve never posted to AO3 before, or if you’d like some visual aids, here are 2013's step-by-step instructions for how. Just be sure to update the dates and submit to the correct collection.

Hello wonderful participants,

It's time for our second check-in! Please respond to this check-in within 48 hours. We will send a follow-up email to all those we have not heard from at that time.

The complete writing is due in one week, on July 16th. If you're not feeling confident in your ability to finish the writing within the next 7 days, please let us know and we can talk about:

-The possibility of extensions (please read the rules about extensions before requesting one)*.
-The possibility of getting a beta or cheerleader
-The possibility of getting a cowriter
-The possibility of writing a shorter version of your original story plan for your podficcer to begin recording (which is able to stand alone in case a life emergency stops you from writing more) with the agreement that if there is time and interest by both parties, you might create additional scenes later to add on.
-The possibility of (with your partner's approval) leaving some areas of the script for podficcer ad-lib
-The option of daily accountability check-ins, if that will help keep you motivated and not stressed!

Also, please remember to share what you've written so far with your partner. The minimum requirement is once per check-in!

Finally, if you're realizing that what you really need in order to take care of yourself is to drop out, that's fine. Yay self-care! Please let us know as soon as possible, though, so we can offer your partner a pinch hitter. If anybody reading this knows that they are interested in pinch hitting, please feel free to let us know, and you will be the first we approach if the need arises.

*A note about extensions: Writers, please keep extension requests to eight days or less, since any longer than that will cut significantly into the time allotted for the podficcer to create their audio. Podficcers, please do not tell your partners that they can have a multi-week extension because you only need a couple of days to create your audio! Even if you are typically fast, you may experience an emergency like losing your voice from a cold, a computer crash, etc. For this reason, mods won't approve the long extension you've promised your partner, and it could lead to hurt feelings all around. If you're fast, use that speed to get your podfic finished early, and then come sign up to work on a Party Favor (if you'd like)!

Hi!

Our first round of check-ins has revealed two participants who need pinch hit partners:

Writer needed in Star Wars VII, Marvel Comics, Sleepy Hollow, Pacific Rim, Rosewood, The Wicked + The Divine, Hamilton, Lucifer, or Limitless. This should be someone who is comfortable drafting pretty independently after initial conversations with the podficcer. (Pinch Hit Found!)

Podficcer needed in Star Wars VII (Finn/Poe and/or Rey) or MCU (Bucky/Sam or Bucky/Nat). This should be someone who is interested in a high level of interaction and collaboration during both the writing and podficcing parts of the challenge. (Pinch Hit Found!)

Today is our first check-in! You can check in over email, tumblr, twitter, LJ, or DW—whichever feels most comfortable to you.

Now is also a good time to touch base with your partner(s). Remember that sharing your work-in-progress with your partner(s) is mandatory, and that the minimum requirement is once per check-in. That means that, if you haven't already shared what you have so far, now is the time to do so. Partners, don’t forget to give feedback/encouragement on the work-in-progress when you see it!

Completed writing is due in 3 weeks, on July 16th. When you check in this weekend, let us know if you feel on track for that deadline so far. We'd also love to know what's going well in your group and any worries you may have about your group or your project. Comments on LJ/DW are screened, and Asks on tumblr will not be published.

It's very early in the game, so if you are anticipating difficulty, this would be a great time to start discussing problem-solving options (we've already successfully put together 2 replacement matchups for partnerships where a problem was identified early). Today's questions focus on fanworks you've already made and will help partners become more familiar with each others' work.

Share a piece of a fanwork you're particularly proud of (a page or so of a written work, a few minutes of an audio work) and explain why you're proud of it.

Today's questions dig a little deeper into what makes group work work or not work for each person, and then goes on to begin (or continue!) the conversation about options for collaboration on each part of your project. There are also a couple of questions that touch on emergency planning.

Tell your partner about a good and a bad group work experience you've had, either in fandom or at school or work (or other). What made the good one good? What made the bad one bad? What did you learn about yourself and what makes group work successful for you?

Suggest ways that the podficcer might be involved in the writing process that would work well for you.

Sometimes life emergencies arise. Make an emergency plan!
- How many days without communication between your team do you think should be limit before someone reaches out to the mods to tell them a teammate is MIA?

- If an emergency does arise, what would be your preferred way of dealing with it? Bringing on another team member to help out with writing/sound effects/editing/etc? Dropping out (and telling the mods ASAP so a pinch hitter can be found for your partner)? Having a less intensive back-up project idea in mind to switch to if needed? If you're the podficcer, recording a draft early so that if you lose your voice or are otherwise unable to record later on, you have an emergency back-up recording you can edit? What other thoughts or ideas about this do you have?

Icebreaker Week: Day 3

Today's ice breaker questions are about how you view your fanworks and how you and your partner(s) can mesh those ideas.

Why do you create fanworks? What does it mean to you?

What are some ideas you have for how this collaboration could be specifically created for voice/audio? (You can see this post for some possibilities to start with or look here to see what past participants have done.)

What wishes and expectations do you have in how your fanwork is treated? If you have a blanket statement/dear author letter/other policy, you may want to link your partner to it and discuss it. If you don't have one, you may decide to create one, perhaps through discussion with your partner. What level of communication and feedback do you want/need from this partnership? What are some ways/tools you can use to achieve this (ie. scheduled contact, using google docs/drop box to share WIPs)?*

If you unknowingly said something or suggested something for the project that made your partner uncomfortable, how would you want them to address you about it (or would you rather not know)?

*Over the years, there have been multiple partnerships where someone has a difficult experience because their partner doesn't acknowledge/feedback their part of the project. As you begin your project, one way to get to know your partner(s) is through participating in icebreaker week. Icebreaker week is a series of questions that help get communication flowing. We created these questions based on watching many partnerships across the first few years of pod_together, and they are designed to help set the foundations for a strong partnership and help you anticipate and avoid potential pitfalls as you move forward in the collaboration process!

These exercises are optional, but we hope they'll help both those groups that were assigned and the ones that formed on their own. We encourage group members to contact each other, answering as many questions as as they are comfortable with.

Today's questions are geared towards helping group members learn a bit more about each other, personally and fannishly.
